Privacy Policy
What information School eDiary handles, why we handle it, and the choices you have.
Lamda Infotech Private Limited (“Lamda Infotech”, “we”, “us”) operates the School eDiary mobile application and the schoolediary.in website (together, the “Services”). This policy explains what information we handle, why we handle it, and what choices you have. It applies to parents, students, teachers, institution administrators and visitors to this website.
1. Who controls the data
School eDiary is supplied to an institution, and the institution decides what student and staff records go into it. Under India’s Digital Personal Data Protection Act, 2023, your institution is the Data Fiduciary for those records and Lamda Infotech acts as the Data Processor, handling them only on the institution’s instructions.
For information you give us directly — an enquiry form on this website, a newsletter signup, a support request — Lamda Infotech is the Data Fiduciary.
2. Information we collect
- Provided by your institution. Student and staff name, class or section, roll number, photograph, parent or guardian name, contact number, email address, address and emergency contact — whatever the institution chooses to enter.
- Generated by using the app. Attendance marks, homework and assignment submissions, marks and academic reports, fee records, leave applications, comments and feedback you post, and delivery status of notifications.
- Provided directly by you. Details entered into our web forms, newsletter subscriptions, and anything you send us by email or phone.
- Collected automatically. Server logs recording page requests, device type, app version, approximate location derived from IP address, and crash diagnostics. These are used for security and reliability and are deleted on a rolling schedule.
- Location, where enabled. If your institution uses bus tracking, the location of the school vehicle is processed so that authorised parents and administrators can see it. The app does not track a parent’s or student’s own device location.
- Linked social accounts. If you choose to connect a social media account, we receive only the profile information that platform is permitted to share.
3. How we use it
- To deliver the features the institution has subscribed to — notices, homework, attendance, marks, fees, transport and messaging.
- To send push notifications and service messages relating to your child’s or your own school activity.
- To provide technical support and to investigate faults reported to us.
- To keep the Services secure, prevent misuse and detect fraudulent activity.
- To tell you about changes to the Services, and — where you have asked for it — to send newsletters and product information. You can opt out of marketing messages at any time without losing access to the Services.
- To meet legal, accounting and regulatory obligations.
4. What we do not do
- We do not sell, rent, trade or lease personal information to anyone.
- We do not share your data with advertisers, and we do not serve advertising inside the app.
- We do not use student data to build advertising or marketing profiles.
5. When we share information
We disclose personal information only in these situations:
- Within your institution. Teachers and administrators see the records their role permits. Parents see only their own ward’s records.
- Service providers. Cloud hosting, SMS gateways, push-notification delivery and payment gateways, each bound by contract to process data only on our instruction and to keep it confidential.
- Payment processing. Online fee payments are handled by a licensed payment gateway. Card and banking credentials are entered on the gateway’s systems — School eDiary does not receive or store them.
- Legal obligation. Where disclosure is required by law, court order or a lawful request from a public authority.
- Business transfer. If the business is reorganised or acquired, data may transfer to the successor entity under the same commitments; you will be notified.
Aggregated or de-identified information, from which no individual can be recognised, may be used to improve the product and to describe usage.
6. Children’s data
School eDiary exists to serve schools, so much of the information in it relates to children. Accounts are issued by the institution, not created by children on their own. We process children’s data solely to provide the service to the institution and the child’s parents or guardians, we do not profile children for advertising, and we do not use their data for any behavioural targeting. Where the law requires verifiable parental consent, the institution obtains it as part of enrolment.
7. Security
- Traffic between the app, the website and our servers is encrypted in transit.
- Login requires the School Code, a Unique ID and a password, with OTP verification at registration and a 4-digit PIN on subsequent sessions.
- Access is role-based: parents, students, teachers and administrators each see only their own scope.
- Data is hosted on managed cloud infrastructure with routine backups.
- Internal access is limited to staff who need it to run or support the Services.
No system is perfectly secure. Keep your password and PIN confidential and tell your institution or us promptly if you suspect an account has been compromised.
8. Retention
Records belonging to an institution are kept for as long as that institution holds an active subscription, and afterwards for the period agreed in its contract so that academic history remains available. On written instruction from the institution, or on closure of the account, records are deleted from the active database. Copies may persist in backups and archives for a limited further period, and may be retained where necessary for fraud prevention, dispute resolution or legal compliance.
9. Your rights
Subject to applicable law, you may ask to:
- access the personal information we hold about you;
- have inaccurate information corrected or incomplete information completed;
- have your personal information erased;
- withdraw consent for optional processing, such as marketing messages;
- nominate another person to exercise these rights on your behalf in the event of death or incapacity.
If your data was supplied by an institution, please contact the institution first — it decides what is recorded. You may also write to us and we will assist, and will pass the request to the institution where it is theirs to decide. Erasing information may make parts of the Services unusable.
10. Cookies and similar technologies
This website uses a small number of cookies and equivalent storage to keep the site working, remember preferences and understand aggregate traffic. You can block or delete cookies in your browser settings; some pages may then behave differently. The mobile app uses local device storage to keep you signed in and to cache content for offline viewing.
11. Third-party links and services
The Services link to and integrate with third parties — the Google Play Store, video-conferencing tools used for live classes, payment gateways and mapping providers. Their handling of your information is governed by their own policies, which we recommend you read.
12. Changes to this policy
We update this policy from time to time to reflect changes in the Services or in the law. The revision date at the top shows when it last changed. Material changes will be notified in the app or by email; continued use after a change means you accept the updated policy.
